Please note that by making a booking appointment with The Pure Spa Wellness Centre you are agreeing to our Terms & Conditions and our Privacy Notice. You also agree to attend the appointment you have booked. Please take notice that by making a booking for an appointment or any service (s) with The Pure Spa Wellness Centre, you are agreeing to our Terms & Conditions and our Privacy Notice. You also agree to attend the appointment you have booked. If you have booked online, you also agree to attend the appointment you have booked. So that you understand our Terms and Conditions please take the time to read through this information carefully. APPOINTMENTS You can make an appointment with The Pure Spa Wellness Centre in a number of ways including via our website, phone, text, email, or via Find a Therapy, Therapy Directory for a variety of appointment(s). Appointments are available for a variety of durations from 1hour to 4 hours. Upon making a booking, you will receive an email confirming all the important details, along with an email reminder 2 days prior to your appointment. If this is your first appointment with us, you will also receive a new guest Consultation Form via email the day before your appointment. Please complete this because we will not be able to treat you until you have, and completion on the day will be part of your appointment time. Appointments made online or by phone as a new guest, or for returning guests, must be paid in full at the point of booking. Guests will also be asked to complete a brief update form regarding any changes in medication, medical treatments or in the current climate any contact with Covid 19. Therefore, guests are advised to arrive 10 minutes early to their scheduled appointment. During the ongoing coronavirus pandemic, our guests are politely requested to always wear face coverings on the premises and to follow the guidelines set out by the government and implemented within the center. CANCELLATIONS & LATE ARRIVALS Cancellation Policy: 24 hours- We require a minimum of 24 hours' notice if you find it necessary to cancel your appointment or wish to reschedule it. Failure to attend an appointment with less than 24 hours' notice of cancellation will incur the full cost of your appointment. This is because we may not be able to fill your appointment slot and still need to cover our costs. Rescheduling with less than 24 hours' notice is not possible and will be charged at the full cost of the booking. We would appreciate your assistance by canceling as soon as possible if an unforeseeable event is potentially likely to prevent you from attending, maybe illness or the onset of severe weather conditions, 24 Hours’ notice of cancellation is still applicable. However, if you need to cancel your appointment at short notice because of Covid-19 related symptoms, a long-term medical condition that varies from day to day, or because you are more than 37 weeks pregnant, then we shall discuss the cost implications on a case-by-case basis. An invoice for any cancellation or ‘no show’ charges will be sent to you by email for payment by bank transfer within 7 days. Following a cancellation, payment must be received before any further bookings can be taken. LATE ARRIVAL It is important that your agreed appointment time and the duration of your treatment are adhered to. We do understand that on occasion something may happen, and you may arrive a little later or must leave earlier than originally planned. Naturally, we appreciate that unforeseen circumstances can get in the way of your plans, but we are not able to make up the missed time by over-running or adding time to subsequent appointments. CONFIDENTIALITY All guest information and clinical records will be safeguarded by The Pure Spa Wellness Centre to remain confidential. We will not otherwise share, sell, or distribute any of the information you provide to us without your consent unless where required to do so by law. Consultations and guest treatment details will not be discussed with anyone other than the client unless the client is under the age of 18 or has a care worker or guardian. So that we may prevent unauthorized access or disclosure, we employ security measures to protect your information from access by persons who are not authorized to see them and against unlawful processing, accidental loss, destruction, and damage. We also have in place suitable physical, electronic, and managerial procedures to safeguard and secure your personal data which we have collected online. We shall retain your personal data only for a reasonable period or as long as the law requires. Each practitioner working for The Pure Spa Wellness Centre will have access to these records only for the duration of their employment with us and solely for the purpose of ensuring that you are provided with the most appropriate treatment (s). HEALTH & SAFETY All practitioners at The Pure Spa Wellness Centre are qualified and are covered by professional and public indemnity insurance for the therapies that they provide. Because of the nature of the complementary and holistic therapy sector and the necessity for close contact, all practitioners will maintain high standards of personal hygiene and our guests are politely requested to ensure that they also maintain a high standard of personal hygiene. Should one of our practitioners be unwell, suffering from a cold or infection, or general ill health, they will not be allowed to attend the area for their work because of the risk of cross-contamination. This may result in The Pure Spa Wellness Centre contacting you to inform you of the circumstances at the earliest opportunity to offer alternative suitable arrangements. Our guests are equally advised not to attend for treatment if they are unwell, suffering from a cold or infection, or in general ill health, if in doubt please reschedule at least 24 hours before your appointment time as a shorter cancellation time will still apply, as per our Cancellation Policy. Guests below the age of 18 years must be accompanied by a parent or guardian. This parent or guardian must give their written permission before the agreed treatment plan can be performed and will be required to counter-sign the New Guest Consultation Form. They will be requested to remain in the room during the appointment so that they shall be present throughout the treatment. The Pure Spa Wellness Centre retains the right to refuse any treatment if a guest is physically or verbally abusive towards any therapist, demonstrates inappropriate, aggressive, or sexual behavior, or does not wear appropriate levels of underwear. Such behavior will result in a ban from The Pure Spa Wellness Centre and may potentially result in criminal proceedings. DISCLAIMER It is the duty of the guest to provide accurate and true medical and personal information, given to the best of their knowledge, and to keep The Pure Spa Wellness Centre fully acquainted with any change in details of medication, symptoms, medical concerns, or treatments for which they are presently being investigated or undergoing treatment. The Pure Spa Wellness Centre reserves the right to terminate any appointment at any point if they believe that it is not safe or in the client’s best interest to continue further. Equally, the guest has the right to refuse, modify or terminate their treatment at any point, regardless of prior consent given. COVID-19 The Pure Spa Wellness Centre will require their guests to declare the following. 1. The guest has not been in contact with anyone with Covid-19 in the last 14 days, to the best of their knowledge 2. The guest has not had any symptoms: o a recent onset of a new, continuous cough o a high temperature (typically over 37.8℃) o a loss of, or change in, normal sense of smell and/or taste 3. Should the guest contract the virus, or be contacted by the Track & Trace service and advised to self-isolate, they must inform The Pure Spa Wellness Centre as soon as possible 4. Depending upon the timing, The Pure Spa Wellness Centre will need to contact the practitioner and may need to contact other clients possibly affected, and to self-isolate There will also be a declaration from the practitioner declaring the same. For the purpose of legal protection, we are required to hold the personal information you have given to us in the course of providing you with booked services and the notes about those treatments for a minimum of seven years. DATA HANDLING & STORAGE Our appointment booking and document service are provided by a Secure online System. Your data is stored using specialized data storage facilities, databases on secure servers are always encrypted when in storage and whilst being transmitted across the internet. PAYMENT If you choose to pay for your treatment with a debit or credit card your information will be passed to our payment processors - either for online card payments, PayPal or iZettle for card payments in person. We never store your credit card details; it is always processed by third parties. It is encrypted through the Payment Card Industry Security Standard (PCI-DSS). You can pay for your appointment or gift voucher quickly using credit or debit card details. PayPal and iZettle both adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express, and Discover.
